Loss, misuse, theft or technology services and data:

 

No student, staff, or faculty personal data will be stored on a laptop computer or on a portable USB flash drive device.  Laptops may be used to view personal data by accessing the file servers, but file data should not be downloaded and saved to a laptop. 

Likewise, if a data file containing personal data is moved from one server to another using a USB Flash Drive, CD, or similar device, the data on the portable device will be deleted as soon as the transfer is completed.  If a USB flash drive, CD, or similar device is used for data movement then that flash drive, CD, or similar device may not be removed from the campus main building and must be secured under lock and key when not in use until the data is deleted.  If a disk, CD or DVD is used for archival storage then that device may not be removed from the campus main building and must be secured under lock and key until such time that it is destroyed.  Such data devices may not be disposed of by tossing in the trash. 

Staff and faculty members who have a university owned laptop issued will coordinate with the IT office for a date and time to have the issued computer inspected each quarter.

Staff and faculty members are not permitted to store any personal data from the file servers on his or her own personally owned laptop or USB flash drive, CD, or similar device.

Action

 

If data is determined to have been stolen or otherwise comprised, the Director of Information Services will immediately notify the Dean and as necessary the appropriate authorities. 

 

In the event of a natural disaster or blackout conditions, all university employees will take what ever steps are necessary to ensure the safety and integrity of university computers and data storage devices.
