DROP, ADD, and WITHDRAWAL
 

IQ WEB REGISTRATION:

Please note that the classes you select using IQ Web are linked to you when you process the class information.  You may drop, add or change a class on-line until until registration by IQ Web is over.  Applicable drop fees will apply.

DROPPING OR WITHDRAWING FROM CLASSES:

Once you have registered, you may drop a class on any scheduled registration day with a Permit to Register.  You will need to log onto our web site and select the option for Permit to Register.  Then select the option to obtain or delete a permit and log in to the system.  If you had a previous Permit to Register, the system will indicate that you had a Permit to Register and give you the option of deleting it.  Delete the previous permit you used to register, and then select a day and time to come drop your class. 

The drop fee is $10 per class dropped.  Classes dropped after the first class meeting are subject to additional charges (see your contract for refund percentage amounts), regardless of whether you attended that class meeting or not.  If you withdraw (drop all classes that term) from the university, you will incur a $10 drop fee for each class.  All tuition and fees for the class or classes you are dropping are due at the time you execute the drop.

Military members withdrawing from classes due to military TDY must present a copy of the TDY order at the time of the withdrawal in order for the fees to be waived.  Anyone withdrawing due to a medical exigency must present a letter from the attending physician stating the student is no longer able to continue to attend class for the tuition waiver.  The military will be billed for the tuition assistance amount, prorated per the refund policy.  Military TDY and medical exigency withdrawals require the student to withdraw from all classes.

REFUNDS:

A refund does NOT necessarily denote an amount disbursed to the student.  Refunds are based upon the number of weeks a course has been in session.  A week is defined as the number of contact class hours in a term divided by the number of weeks in a regular length term.  San Antonio schedules 44 contact class hours in a term and has regular length terms of 11 weeks, defined as four class hours per week.  A class has been in session a full week as soon as it has met the number of times necessary to substantially equal the defined class hours per week.  Audit courses, those courses enrolled in on a not for credit basis, are not eligible for reduced charges when the course is dropped, and tuition will be due in full.

Applicable refunds as of the date of submission of an official withdrawal form are as follows:

Tuition

100 % of tuition previously charged to the student account for a course will be refunded when a student drops the course:

*Prior to 1st class meeting

75% of tuition previously charged to the student account for a course will be refunded when a student drops the course:

*1-10 days after 1st class meeting for terms 16 weeks in length

*1-4 days after 1st class meeting for terms 10 weeks or longer in length

25% of tuition previously charged to the student account for a course will be refunded when a student drops the course:

*11-20 days after 1st class meeting for terms 16 weeks in length

*5-12 days after 1st class meeting for terms 10 weeks or longer in length

0% of tuition previously charged to the student account for a course will be refunded when a student drops the course:

*21 days and up after 1st class meeting for terms 16 weeks in length

*13 days and up after 1st class meeting for terms 10 weeks or longer in length

A $10.00 administrative fee will be charged for processing each course dropped.

Medical Exigency Withdrawal - A student who has a serious illness or suffers an injury that requires the student to miss 25% or more of the term (defined as three class meetings) may elect to apply for a medical exigency withdrawal from the university.  The application must be supported by a doctor's statement that verifies the student's inability to attend class for a specific period of time due to the illness or injury treated.  If the application is approved, all tuition previously charged to the student account will be refunded.  A $10 per class fee will be charged for processing the withdrawal, and the date of last attendance must be recorded at the time of official withdrawal.  

Military TDY (Temporary Duty Assignments Necessitating Withdrawal) - A student who receives a non-requested military TDY requiring the student to miss 25% or more of the term (defined as three class meetings) may apply for a military TDY withdrawal from the university.  The application must be supported by a copy of orders verifying the student's inability to attend class for a specific period of time.  If the application is approved, tuition due from the military tuition assistance program is still payable.  However, the percentage of tuition due from the student will be refunded to the student account.  No fee is charged for processing an approved military TDY withdrawal, however, the date of last attendance must be recorded at the time of official withdrawal.

Audits - Tuition for classes enrolled in as an "audit" will not be reduced for withdrawal and will be due in full.

AUDITS, ADD and LATE REGISTRATION:

Adding a class - Once you have registered, you may add a class on any scheduled registration day with a Permit to Register.  You will need to log onto our web site and select the option for Permit to Register.  Then select the option to obtain or delete a permit and log in to the system.  The system will indicate that you had a Permit to Register and give you the option of deleting it.  Delete the previous permit you used to register, and then select a day and time to come add your class.   You may add a class (provided seats are available) up until that class has met for two class meetings or the end of late registration (whichever comes first), after which that class is closed.

Late Registration - Late registration begins on the first day of term.  A late fee of $10 per day, up to a maximum of $50, will be assessed beginning that first day of the new term.

Auditing a class – You may enroll to audit a class (if seats are available) beginning the first day of the term, without paying a late fee.  Audited classes may not be converted to a class for credit.
